Built by a surgeon · Made in Australia

One platform for surgical booking, team coordination and the patient's journey.

Book the case once. Everything else flows from it.

Why it exists

Surgery still runs on phone calls, emails, faxes and paper

Every one of these failures costs staff time, and some of them cost operations.

For you and your staff

  • Cases booked by phone and email, in whatever format each hospital wants
  • Theatre staff and implant reps working from outdated lists
  • Equipment communicated ad hoc — remembered rather than recorded
  • The result: delays, cancellations, mix-ups, and hours of staff time on the phone

For your patients

  • Information arrives piecemeal from surgeon, anaesthetist and hospital
  • Generic education that does not match their actual operation
  • Paper forms, clipboards, repeated phone calls to your rooms
  • Anxiety from simply not knowing what happens next
What it is

One platform, three connected interfaces

Everything runs from one booking. Your administrators work in the browser, you and your clinical team work from the app, and your patient follows a guided journey on their phone — the same case, one record, three views of it. It runs alongside the practice software you already use.

Browser admin

  • Where your staff make bookings
  • Your live surgical calendar
  • Templates, pathways, users and settings
  • Reports for audit and throughput

Clinical app

  • Your list in your pocket
  • Every case one tap deep: details, team, implants and equipment, billing, documents
  • Chats with patients and your team
  • Theatre status on the day

Patient app

  • The patient's guided journey
  • Education, forms and consent delivered stage by stage
  • Direct messaging to your nurse and admin
  • Next of kin can follow along, read-only
How it works

Book smarter. Coordinate seamlessly. Keep every case coordinated.

The same platform from your side of it, screen by screen: one connected record carrying a case from template to outcome.

Step 1 — Templates

Your operations become templates

Each operation you perform gets a template, built once, holding everything a booking needs: the standard procedure name, patient position and table, equipment and implants from your own dropdowns, and the item numbers for billing. Sub-templates cover every variation, primary or revision.

  • Mandatory fields mean nothing is forgotten under pressure
  • Standardisation means the whole team reads every case the same way
  • A routine case books in minutes, complete, with the implant and equipment list attached
Step 2 — Booking

Booking a case

Pick a date on the calendar, pick the patient, pick the template — then confirm the specifics: the exact procedure name tailored to the patient, the team, the implants and equipment, and the flags that matter on the day, from health fund approval to anticoagulants to an ICU bed.

The moment the booking saves, the patient's journey is created automatically.

Step 3 — The calendar

Your team works from one live calendar

Your whole surgical list on one live calendar, in the browser and on the phone, with day, week and month views per surgeon and colour-coded case status. Anaesthetist and assistant shifts appear as you book, and changes appear everywhere the moment they are made.

Nobody works from last week's fax.

Step 4 — The patient journey

The right information, at the right stage

Your education content — your explanations, your videos, your guides, in your voice — is delivered progressively across the six stages of the journey. The patient is never overwhelmed, and never uninformed.

  • Medical history and questionnaires completed in-app before they arrive
  • Consent read and signed on the phone, filed as a formal PDF — hospitals accept the printed document
  • Automated reminders that arrive in the patient's own chat, where they can reply — so nothing depends on a phone call from your rooms

Your patients feel informed, prepared, and in control.

Step 5 — Communication

Communication that stays with the record

Patients message your admin staff about appointments and paperwork, and your clinical staff about clinical questions — including wound photos, shared securely. Your team discusses cases privately, without the patient, including supplier coordination for implants.

Every conversation is stored with the case, permanently: retained, searchable, never lost in someone's inbox or text messages.

Reminders and scheduled messages land in the same conversation, so the patient's reply comes back to your team, not into a void.

Step 6 — Outcomes

Outcomes collected automatically

The journey collects outcome measures as a by-product of running it: your own questionnaires, fully customisable to your specialty, covering pain, function and satisfaction, delivered at the timepoints you set — sent, followed up and filed automatically.

  • A record of how your patients actually do
  • Audit-ready data without repeated staff follow-up
  • Collected once, useful for years
A template holds the team, equipment, implants, item numbers and consent items for one operation.
Booking a case: the template fills the surgery; the practice confirms equipment, implants and flags.
The list in your pocket: every case, its status and its details, one tap deep.
The patient's Feed: education and tasks released stage by stage.
Chats stay with the patient's record: admin, nurse and private team threads.
An outcome questionnaire completed by the patient in the app.
Stage by stage

Six stages. The right information at each one.

Every case, and every patient, moves through the same six stages. Select a stage to see what your patient sees and what your team does at that point.

Your patient sees

An invitation from your practice to download the app — setup takes a minute, including a photo taken on the spot so the right patient is always on the right list — then education about the operation being considered — your explanations, your videos, your material, in your voice — with a chat line to your rooms for questions.

Your team does

The case sits on the calendar at its earliest stage. The patient's questions arrive in the practice chat instead of on the phone, answered by the right staff member and kept with the record.

Your patient sees

A pencilled date, and the first tasks: medical history and questionnaires completed in the app before any paperwork would normally have gone out.

Your team does

The booking is created from your template in minutes — procedure, team, implant and equipment list and item numbers pre-filled — and appears colour-coded as tentative on every calendar at once.

Your patient sees

The consent, read and signed on their phone and filed as a formal PDF. The fee estimate, acknowledged. Fasting instructions and reminders that arrive automatically at the right time.

Your team does

Flags are confirmed case by case — health fund approval, anticoagulants, ICU bed, day case — each visible to the people who need to act on it. Suppliers see what the case requires, so the right equipment reaches the right hospital for the right patient.

Your patient sees

What to bring, when to arrive, admission details — delivered as the date locks in, so nothing depends on a phone call from your rooms.

Your team does

The list is finalised. Surgeon, assistant, anaesthetist, hospital and suppliers are all reading the same live entry; any change appears everywhere the moment it is made.

Your patient sees

Their nominated next of kin receives a text message at three points: when the operation is about to start, when it is over and the patient is being woken, and when the patient will be ready to go home. Nobody has to stop to make a call.

Your team does

Three status changes are made in the staff app: In OR when the surgery is about to begin, Closing once surgery is finished, and Discharge when the patient will be ready to go home that day. Each one can send the standard message, adjusted before it goes.

Your patient sees

Recovery guidance released stage by stage, wound photos shared securely with your nurse instead of a clinic visit, and outcome questionnaires at the timepoints you set.

Your team does

Outcomes are sent, chased and filed automatically — a systematic, audit-ready record of how your patients actually do, with no extra staff work.

In daily clinical use since early 2025

Built by a surgeon inside a working surgical practice, not a software company.

Foundations

Built like a medical system, because it is one

Nothing silently deleted

No chat, document or record can be deleted by any user. Removed items are hidden and retained.

Hosted in Australia

Patient data is hosted in Australia on AWS, and every record carries the practice it belongs to.

Consents are formal documents

Read and signed on the patient's phone, filed as a formal PDF against the booking with all the details that hospitals require.

Role-based access

Each staff member sees what their role requires — patients' personal details are hidden from those who don't need them.

Your content is yours

Templates and pathways remain the property of the practice.

One record, complete

Correspondence PDFs and imaging links are uploaded to the booking and viewable alongside the case.

Three practice models, one platform

Solo surgeon. Your practice, your patients, your staff.

Group practice. Shared patients, one workspace, many surgeons.

Shared-brand rooms. One name and roof, completely separate data and bills.

Choose your model at sign-up; staff who work across practices log in once and switch.

AI integration

Where your practice meets AI

AI can only work with what it can see. SurgiHub keeps a complete, structured record of every operation, and gives your own AI assistant a controlled way in.

Your notes, written for you

Dictate as you leave theatre and the operation note could be waiting, drafted from the booking, for you to check and sign. Ward round notes could file the same way, and the discharge summary could assemble itself from the stay.

Your practice, answered

How many robot-assisted cases have you done? How did your fusion patients do this year? What were your complication rates? Your AI assistant could tell you from your own records, with figures, in the time it takes to ask.

Your tools, your way

A pre-admission summary in your anaesthetist's format, a research dashboard, a report nobody has thought of yet. Whatever you can describe, you or a developer could build it on your own information.

Your patients, protected

None of the risk of typing patient details into consumer AI. Your practice would have its own connector, reaching only your patients, recording every access, and built to stay compliant with privacy regulations.

Anyone can use AI to build a booking app in a weekend. Nobody can build the complete, structured record of every operation you perform from here on. SurgiHub is that record, ready for the AI you choose.

The connector is an optional feature. It will require setup using a connector guide and some technical confidence, and it is used through your own AI assistant rather than integrated into SurgiHub. Nothing is connected unless your practice chooses to connect it. How it is used, and where your patients' information goes, is your practice's responsibility.

Pricing

Priced by active users. Every feature on every plan.

SurgiHub is still early, and we're setting our pricing with the first practices to join. Here is how it will work.

Every feature, every plan

Nothing is held back for a higher tier. A solo surgeon gets what the largest group practice gets, from the first day.

Priced by active users

You pay for the people using SurgiHub, not for modules, add-ons or seats you are not filling.

Set with the first practices

SurgiHub is in daily clinical use and still early. We're settling what it costs alongside the practices joining now, so ask us and we'll be straight with you.

Active users include patients on a current journey as well as your clinical staff, administrators and external team members.

Built for Australian private surgical practice, SurgiHub runs alongside your practice management software — it does the surgical workflow your practice software was never built for. Nothing to install, nothing to migrate and nothing to replace.

Questions

Frequently asked questions

How does SurgiHub improve surgical scheduling?
SurgiHub replaces manual booking processes with a centralised digital workflow. Every authorised team member works from accurate, real-time procedure information in a single source.
Can I customise procedure templates?
Yes. Create custom templates with pre-filled requirements, mandatory fields and dropdown menus — your equipment, your implants, your naming — to standardise bookings and book routine cases in minutes.
Can the entire surgical team access the same information?
Yes. Surgeons, assistants, anaesthetists and other authorised team members all work from the same live procedure data, with role-based permissions so each person sees what their role requires.
How does SurgiHub support patient education?
Patients receive your procedure-specific information, forms and reminders through the SurgiHub patient app, delivered stage by stage, improving understanding while reducing administrative follow-up.
Is patient information secure?
Patient data is hosted in Australia on AWS and encrypted at rest. Separation between practices is applied automatically to every request, and a request that doesn't say which practice is asking is refused rather than answered with another practice's data. Nothing in a record can be deleted by any user. Read more on the security page.
Can procedure details be updated after booking?
Yes. Changes can be made at any time and are reflected across the platform instantly, so the clinical team and the patient always have the latest information.
Does SurgiHub replace our existing workflow?
SurgiHub streamlines the workflow you already have: it replaces the phone calls, emails and paperwork around surgical booking with a single live source of truth, and runs alongside practice management software such as Genie, Gentu or Clinic to Cloud, with nothing to install.
Can I use my own AI tools with SurgiHub?
Yes. Your practice would have its own key to its own records, every access would be recorded, and a SurgiHub connector guide will set out how to keep patient information in Australia and out of model training. The choice of tool, and where it runs, is yours. Where your practice management software offers a connection of its own, the two can be joined so your assistant reads both.
How do I get started?
Register for your free trial — you set your own templates up, which takes an afternoon, and every feature is available from the first day. If you would rather not build it yourself, a guided build service is available as an optional service; if you would rather see it first, book a demonstration and we'll come to you.
